Consumer Health Data Privacy Notice

This separate notice explains how Remembrance Codex Inc. handles information that may identify or allow an inference about a person’s health or wellbeing.

1. Scope

This Notice supplements the Privacy Policy. “Consumer health data” means personal information that applicable law treats as identifying or reasonably linkable to a person’s physical or mental health status, including information that can be used to infer such status. This Notice is not an admission that Remembrance Codex is a healthcare provider or that every reflection is legally regulated health data.

2. Categories we may collect

• information you choose to provide about stress, nervous-system experiences, emotional patterns, wellbeing, personal transitions, relationships or intimacy, and support needs;
• goals, self-assessments, application answers, journal-style reflections, prompts, messages, audio, or other User Content that reveals or supports an inference about health or wellbeing;
• information about your use of wellbeing, reflection, or support-related features; and
• AI-assisted themes, summaries, or inferences generated at your request from those materials.

We collect this information directly from you, from your use of requested Services, and from contracted providers acting on our instructions. We do not buy consumer health data from data brokers.

3. Why we collect and use it

• to respond to an application and evaluate mutual fit through human review;
• to provide the reflection, cohort, support, safety, and AI-assisted features you request;
• to personalize your requested experience without making medical diagnoses;
• to protect participants, investigate abuse or a safety report, and comply with law; and
• for another purpose disclosed to you when we seek any consent required for that purpose.

We do not use consumer health data for advertising, profiling unrelated to the Services you requested, admission decisions made solely by AI, or public/general-purpose AI model training.

4. Sources

We collect consumer health data from you; from your interactions with the Services; and from service providers processing those interactions for us. If you direct an integration to send information to us, that integration may also be a source.

5. Who may receive it

• Authorized Remembrance Codex personnel and facilitators who need access for application review, delivery, support, privacy, safety, or legal compliance.
• Contracted processors and service providers supporting forms, CRM, scheduling, hosting, communications, infrastructure, security, community, and AI functionality, including HighLevel/LeadConnector, Netlify, Railway, Supabase, Anthropic, ElevenLabs, and company-controlled local-model infrastructure where relevant to the feature.
• A provider you direct us to use or another recipient you separately authorize.
• Professional advisers, authorities, or others when reasonably necessary to comply with law, protect rights or safety, or establish or defend legal claims.

Affiliates and referral partners are not authorized to receive private application answers, sensitive reflections, or consumer health data. Other cohort participants receive only what you intentionally share in the relevant group. Peer confidentiality is required but cannot be absolutely guaranteed.

6. Sale

We do not sell consumer health data. We do not rent, trade, or exchange it for money or other valuable consideration, and we do not permit a processor to use it for that processor’s independent advertising or public/general-purpose model training.

7. Consent and withdrawal

Where applicable law requires consent, we will request an affirmative choice before collecting or sharing consumer health data for the stated purpose, including any authorized founding-beta evaluation and human review of health-related reflections. General Terms acceptance and marketing consent are separate. You may withdraw consent for future processing by emailing harmoni@remembrancecodex.com. Withdrawal does not affect processing already completed and may limit our ability to provide a requested feature.

8. Your rights

Subject to applicable law and exceptions, you may ask to access, confirm, correct, or delete consumer health data; obtain a list of categories of recipients or specific third parties where required; withdraw consent; or appeal a denied request. Email harmoni@remembrancecodex.com. We may verify identity and authority before acting.

9. Retention and security

We retain consumer health data only as long as reasonably necessary for the disclosed purpose, the requested relationship, safety and security, legal compliance, or establishment and defense of claims. We use safeguards designed for the sensitivity of the data, but no system can guarantee absolute security. More detail appears in the Privacy Policy.

10. Changes and contact

We will not materially expand collection, use, or sharing of previously collected consumer health data without the notice and consent required by law. Questions, requests, or appeals may be sent to:
